Payment
Guests need to pay the full amount due for their stay at the time of booking. There is not an option to pay in instalments. Guest bookings are not confirmed until the full amount is received in cleared funds. When your booking is confirmed, an email will be sent confirming the dates and times of your holiday. Acceptance of the Terms and Conditions is automatically assumed so we recommend that each guest reads them carefully before payment is made.
Cancellation policy
Bookings cancelled more than 30 days will be refunded, minus a 25% non-refundable deposit taken from your original payment. Bookings cancelled within 30 days of the holiday start date will not be refunded. Whilst every effort will be made to avoid them, booking errors made by Drovers’ Hill will mean that all your payments are refunded in full. We are not liable for any amount greater than that which has been paid by the guest. We cannot offer refunds or cancellations for inclement weather.
It is highly recommended that you purchase travel insurance so that you are protected if you need to cancel for any reason.
Security Deposit
Each booking will be subject to an additional
Check-In/Out
Check-in is between 15:30pm until 21:00pm. Our check-in is contactless, using a code provided to you in your arrival email. However, we still ask that you arrive before 21:00pm as it is more likely that a member of staff would be around to assist any of your queries both in person and over the phone.
Checkout from your hut is 10:30am. On departure, please leave the hut and its surrounding area as you found them.
Groups
The person making the booking, on behalf of other people, is responsible for disseminating the appropriate information to the rest of the party, that we send to them. For instance, the Terms and Conditions, hut specifics such as the house rules, the information provided before and upon arrival. This will ensure that all guests are fully informed of the nature of the site, Health & Safety concerns, the amenities, directions and check in procedures and what kind of clothing and footwear they need to bring.
Damage
If you cause damage to the shepherd’s hut or elsewhere on the estate during your stay, please inform us straight away so that we can inspect the damage and quickly resolve/repair/replace as soon as possible. We understand that accidents do happen but often damage is made a lot worse if left without any attention. Drovers’ Hill will only charge for replacement in exceptional circumstances, as we expect a degree of wear and tear. If damage is directly attributable to the guest, then we reserve the right to request payment towards cost of repairs/replacement. Drovers’ Hill reserve the right to deduct this payment from your security deposit or invoice guests the balance, if the cost exceeds the deposit, following their stay.
Cleaning
Guests are reminded that they must leave the huts and surrounding area in the same condition as when they arrived. All food items and personal belongings must be removed from the huts. Guests must follow Drovers’ Hill’s instructions about where to place rubbish etc. and return any moved inventory items to each shepherd’s hut or they may be liable for extra cleaning costs. Drovers’ Hill reserves the right to deduct any extra cleaning fees deemed necessary from the security deposit or invoice guests if the cost exceeds the deposit.
Nuisance
Although the shepherd’s huts are secluded, guests must remain respectful to other guests and those that live on the estate and in the surrounding area. Loud noise and nuisance that disturb others will not be tolerated at any time and all noise must be kept to a minimum after 11pm. Guests who are, in our responsible opinion, causing nuisance may be liable for loss of security deposit money and/or be required to immediately leave the site. Please ensure that any outside lights are turned off when you retire for the night, as it’s nicer for our deer and owls to have no light. No litter should be left in the vicinity of the hut or anywhere else on the site and please respect the natural environment and neighbours.
Fire policy
No fires shall be lit other than in the wood burning fire pit and inside the log burner. No naked flames are allowed inside the huts unless it’s to light the log burner.
Smoking
Smoking or Vaping is not permitted inside the shepherd’s huts. Smoking or Vaping outside is allowed but you must be at least 5 meters away from the hut. Please collect and dispose of cigarette butts appropriately. Any evidence of smoking or vaping within the huts found by us will subject guests to losing part or all their security deposit. This will be used as a cleaning fee to allow us to fully steam clean the accommodation and remove odours before our next guests arrive. There will be an extra charge of £500 if evidence of smoking is found.
Occupancy
Occupancy of the hut must not exceed 2 adults. We reserve the right to decline accommodation and/or ask you to leave the site at any time if your numbers exceed this. The bookings will then be deemed cancelled with full loss of payment.
Warning
Please remember that you are staying on a working estate with live deer, some uneven terrain and heavy machinery in use. Some of the site equipment can be dangerous if misused. The proprietor accepts no liability for any accident, injury, loss, or damage sustained by any resident, their family, visitors, animals, vehicles, or personal effects however caused.
Complaints
Any complaints must be made known to us immediately. No complaints will be entertained at the end of the stay or after the guests have departed.
Closures
In extreme weather Drovers’ Hill reserve, the right to close the site. No refund will be given if the site is unable to open due to extreme weather and if we feel the site or huts have become unsafe. Alternative dates will be offered for your payment to be set against.
‘Force Majeure’
Typical ‘Force Majeure’ events include, but are not limited to, a pandemic, terrorism, serious crime, natural disaster, government or public authority intervention, law, and travel restrictions. If we are unable to accommodate due to circumstances beyond our control, we are not liable for refunds or expenses incurred. We recommend that you have adequate UK holiday insurance in place to cover this.
If we are prevented, hindered, or delayed from performing our obligations or need to change the bookings, due to an event outside of our control, including action or order from the government, we will be relieved of our obligations. In the event of this happening, we will offer guests the opportunity to change the dates of their stay. We will not offer refunds.
Children
Drovers’ Hill Shepherd’s huts are suited to 2 adult guests and although we love all children, they are better suited to day trips to our Adventure Playground Tumblestone Hollow.
Pets
We love our dogs too, but sadly at this time, dogs or any other pets are NOT allowed within the Shepherd’s Huts as the space is quite small and if you are exploring and adventuring, the dogs could get quite mucky, with little space for cleaning. Any guests who have brought a pet with them may be liable to extra cleaning fees at our discretion.
Belongings
Drovers’ Hill accepts no liability for any belongings which are lost or stolen on site, including but not limited to within huts and cars.
The Law of the Land
It is imperative that all visitors always abide by local laws. Anybody discovered to be breaking the law will be asked to leave right away, without a refund, and their actions will be reported to the police.
Events
Stonor Park is a busy estate, especially in the summer, with lots of exciting events. Guests are responsible for making sure they are informed of any events held on the estate that will be taking place during their stay. This information can be found at:
